NAFSA REGION V TEAM JOB DESCRIPTION
ATESL Representative
Term: Three years
Appointment: By the Regional Chair
The ATESL representative is the regional sectional head of the
Administrators and Teachers of English as a Second Language, one of the
five sections of NAFSA for our Region. The ATESL representative is asked
to have experience in administering and/or teaching ESL and be willing to
work with other ESL professionals to plan program sessions for the
regional conference and other activities for the membership in the region.
The representative also serves as a liaison between regional ATESL members
and the ATESL national team, facilitating a two-way flow of information.
The representive should also identify potential members and encourage
membership in NAFSA and ATESL section. This is a three year position.
Prior service on a state team may be helpful. Attending both the annual
regional conference and spring planning meeting, and contributing to each
newsletter are essential. NAFSA membership is required.
COMSEC Representative
Term: 1 year, renewable annually for up to two additional years.
Appointment: By Regional Chair
The COMSEC representative represents the interests of the Community and
Campus Programming Section, one of the five sections of NAFSA for our
region. The COMSEC representative is expected to have knowledge and
experience in working with volunteers in community or campus programs,
international student advisers, program coordinators, and/or other campus
staff. COMSEC's mission is to increase cross-cultural exchange and
understanding among international students, scholars, and their families
and members of university campuses and/or communities throughout the
United States and the rest of the world by providing education and
training to community & campus programming leaders and volunteers, by
encouraging the development of cross-cultural programs, and/or by
promoting partnerships between campuses and communities. Examples of
community/campus programming: homestays, friendship families, conversation
partners, spouse and dependents' programs, international living centers,
new student orientations, cross-cultural workshops, speakers' bureaus,
recruiting/retaining volunteers, etc. The COMSEC representative plans
program sessions for the regional conference and other activities for the
membership in the region. The representative also serves as a liaison
between regional COMSEC members and the COMSEC national team, facilitating
a two-way flow of information. The representative should also identify
potential members and encourage membership in NAFSA and COMSEC section.
This is initially a one year position, renewable annually for up to two
additional years. Prior service on a state team may be helpful. Attending
both the annual regional conference and spring planning meeting, and
contributing to each newsletter are essential. NAFSA membership is
required..
SECUSSA Representative
Term: Three years
Appointment: By the Regional Chair
The SECUSSA representative is the regional sectional head of the Section
of U.S. Students Abroad, one of the five sections of NAFSA for our region.
The SECUSSA representative is asked to have experience in study abroad
issues and be willing to work with other study abroad professionals to
plan program sessions for the regional conference and other activities for
the membership in the region. The representative also serves as a liaison
between regional SECUSSA members and the SECUSSA national team,
facilitating a two-way flow of information. The representive should also
identify potential members and encourage membership in NAFSA and SECUSSA
section. This is a three year position. Prior service on a state team may
be helpful. Attending both the annual regional conference and spring
planning meeting, and contributing to each newsletter are essential. NAFSA
membership is required.
ADSEC Representative
Term: Three years
Appointment: By the Regional Chair
The ADSEC representative is the regional sectional head of the Admissions
Section, one of the five sections of NAFSA for our region. The ADSEC
representative is asked to have experience in admissions issues and be
willing to work with other admissions professionals to plan program
sessions for the regional conference and other activities for the
membership in the region. The representative also serves as a liaison
between regional ADSEC members and the ADSEC national team, facilitating a
two-way flow of information. The representive should also identify
potential members and encourage membership in NAFSA and ADSEC section.
This is a three year position. Prior service on a state team may be
helpful. Attending both the annual regional conference and spring planning
meeting, and contributing to each newsletter are essential. NAFSA
membership is required.
CAFSS Representative
Term: Three years
Appointment: By the Regional Chair
The CAFSS representative is the regional sectional head of the Council of
Advisors to Foreign Students and Scholars, one of the five sections of
NAFSA for our region. The CAFSS representative is asked to have experience
in foreign student/scholar advising and programming issues and be willing
to work with other CAFSS professionals to plan program sessions for the
regional conference and other activities for the membership in the region.
. The representative also serves as a liaison between regional CAFSS
members and the CAFSS national team, facilitating a two-way flow of
information. The representive should also identify potential members and
encourage membership in NAFSA and CAFSS section. This is a three year
position. Prior service on a state team may be helpful. Attending both the
annual regional conference and spring planning meeting, and contributing
to each newsletter are essential. NAFSA membership is required.
Two-Year/Community College Representative
Term: Three years
Appointment: By the Regional Chair
The Community College Representative will assume a primary responsibility
for membership outreach to two-year colleges with the goal of increasing
both membership and conference attendance within the region. She/he will
communicate with community/two-year colleges, identify the two-year/CCís
in our region, and the current contacts working with international
students and study abroad programs at each of the two-year/CCís. The
representative will identify and promote strong programs and personnel
with expertise and develop a cadre of such persons to ensure strong
regional conference program sessions that will be of interest to two-year
college personnel. He or she will encourage the use of and participation
in workshops, consultations and other NAFSA services, assist in the
development of international programs for two-year/CCís for our regional
conferences, provide reports, and work closely with all other members of
the regional team to develop programs for the region and the two-year/CCís.
The representative will maintain an awareness of pertinent literature and
international programs and opportunities of merit and will help with the
orientation of his or her successor. The representive should also identify
potential members and encourage membership in NAFSA. This is a three-year
position. Prior service on a state team may be helpful. Attending both the
annual regional conference and spring planning meeting, and contributing
to each newsletter are essential. NAFSA membership is required.
State Representative
Term: 1 year
Appointment: Elected by States (current state chairperson)
The State Representative will be responsible for NAFSA membership outreach
within their state and for forwarding member information to the regional
secretary who keeps the Region V mailing list/data base up to date. He or
she will also collect information on action or proposed action of the
State Legislature that would affect foreign students and study abroad
students and forward it to the regional chair. The representative serves
as a communication networker, disseminating information from the Region
that is of immediate importance and cannot be effectively disseminated
through the usual channels, such as the newsletter, because of such
considerations as time. Identify special needs of the state as workshop
topics and session topics for the conference, and forward the "Best of
State" session from the annual state conference to both the Region V
Chair-elect and the appropriate regional sectional representative, making
sure "Best of State" is clearly marked on the proposal form. Contribute
articles to the Newsletter, summarizing highlights of the state
conference, and interesting activities in the state. Contact all
institutions in the state and indicate willingness to serve as an
information source for all kinds of foreign student and study abroad
related matters. This would involve being aware of the activities and
opportunities offered through NAFSA and knowing who to contact for further
information about them. Serve as a public relations person for NAFSA by
providing information on membership, meetings, and professional
development opportunities in the state. Identify NAFSAns from the
particular state who are retiring so that they may be honored by the
region. Prepare a report of each yearís activities for presentation at the
annual spring team meeting. Make recommendations for and orient the state
representative successor. This is a one-year position. Attending both the
annual spring planning meeting and regional conference and contributing to
each newsletter are essential. NAFSA membership is required.
Newsletter Editor/Secretary
Term: Three years
Appointment: By the Regional Chairr
The Newsletter Editor/Secretary will visit printers, plan each of 2 issues
of the Lakeline newsletter per year, keep record of issues and procedures
for successor, and send four copies of each issue to the NAFSA central
office. Newsletter production responsibilities include all aspects of
newsletter production for the Region from raw manuscript publishing to
mailing (by first class) of finished newsletter. Specific tasks include:
1) gathering and editing materials from the Team and other NAFSA members,
2) establishing newsletter deadlines, 3)reflecting interests of the Region
in newsletters; 4) contracting with printer, working within newsletter
budget, 5) contacting Team members before each issue and, 6) incorporating
team agreed upon design changes. (The NAFSA Newsletter logo is not to be
reproduced as that is reserved for the association as a whole.) This
person is also responsible for taking minutes at all meetings which
include three Team meetings per year (one in the spring, one at the
national conference, and one at the fall regional conference) as well as
taking minutes at the annual Region V Business meeting held at the fall
regional conference, and taking minutes at the Region V update meeting
held at the national conference. Duplication and distribution of the
minutes to the Team following each meeting are also required. In addition,
reporting the minutes of the previous annual business meeting or update
meeting to the membership at the next annual business meeting or update
meeting is required. The Newsletter Editor/Secretary should also identify
potential members and encourage membership in NAFSA. This is a three year
position. Prior editing experience and/or experience taking minutes as
well as prior service on a state Team may be helpful. Attending both the
annual regional conference and spring planning meeting is essential. NAFSA
membership is required.
Committee on Immigration Policy
and Practice Representative (CIPP Rep.)
There are two positions: International Student CIPP and International
Faculty/Staff CIPP
Term: Three years
Appointment: By the Regional Chair
The CIPP represents the regulatory interests of the membership for our
region. This representative is expected to have experience working with
other professionals in the regulatory area. The CIPP plans program
sessions for the regional conference that also involves contacting INS and
other government officials. Additional CIPP regional responsibilities are
as follows: 1) serve as liaison for resolving problem cases with the INS
Nebraska Service Center and institutions in NAFSA Region V, 2) keep
abreast of current regulations and policies of U.S. government agencies
affecting foreign study in the U.S., notably INS, USIA, Dept. of State,
Social Security Administration, Department of Labor, and IRS. Keep abreast
of current federal legislative initiatives affecting international
educational exchange, 3) organize a regional network for information
dissemination regarding changes and clarifications in regulations and
policy; utilize regional communication forums for dissemination of
information (e.g. regional newsletter, regional meetings, and regional
conferences); plan and run regional workshops dealing with issues of
concern in immigration-related regulations and policy; and encourage
grassroots reaction to new policy initiatives at the federal level, 4) be
available to NAFSA members within the region to answer questions regarding
regulations and policies affecting non-immigrant students, scholars, and
teachers, 5)participate in regional Team meetings as a representative for
members within the region working with immigration-related issues and
selected federal legislative initiatives, 6) serve as a conduit of
information between regional members and the Vice President for Public
Affairs and the Council on Public Affairs, the chairs of the F, J, and
H1-B Employment-Based Working Groups and the NAFSA central office staff
regarding immigration and legislation related matters and facilitate a
two-way flow of information. The CIPP-RR should also identify potential
members and encourage membership in NAFSA.The CIPP Regional Representative
must have current experience in immigration in educational settings,
preferably including detailed experience with non-immigrant students,
scholars, and teachers. S/he must also have support and encouragement of
her/his home institution to carry out the CIPP Regional Representative's
responsibilities. Prior service on a state Team may be helpful. Attending
both the annual regional conference and spring planning meeting, and
contributing to each newsletter are essential. NAFSA membership is
required.
Chair-elect-elect
Term: 3 years and 7 months
Appointment: Elected by Region V Members of record
Each year the nominations rotate from state to state. (Ballots will be
mailed to Region V NAFSA members of record by the past chair in
early-August and will be due back to the past chair by early-September.)
Nominees must meet the following qualifications:
* The person must be a NAFSA member of record.
* S/he must have served on the Region V Team.
* S/he must live and work in the particular state. (MI-IL-WI)
The person elected will serve from the close of the regional conference
through the national NAFSA conference in the spring approximately three
and a half years from the year elected. Service will include 7 months as
chair-elect-elect, 1 year as chair-elect, 1 year as chair, and 1 year as
past-chair for Region V.
The chair-elect of Region V has responsibility for overall regional
conference program content. The chair of Region V has responsibility for
overall regional business, and the past-chair of region V has overall
responsibility for site selection and appointing chair of local
arrangements for that year's Region V conference to be held in their
state.
In addition to being a key part of the Region V leadership, the position
involves representing Region V to national NAFSA by facilitating a two-way
flow of information between the Region and national NAFSA and serving as
liaison with National NAFSA as part of the Regional Council structure
within NAFSA. The 3 regional councils that co-exist are the Regional
Council-elect-elect (made up of the chair elect-elects of NAFSA's 11
regions), the Regional Council-elect (made up of the chair-elects of
NAFSA's 11 regions), and the "sitting" Regional Council (made up of the
chairs of the NAFSA's 11 regions) which has a formal ability to submit
issues of common concern or interest and render formal opinions to
represent regional interests to the Executive Committee of NAFSA as they
deem appropriate. The 3 regional councils meet individually (and in part
jointly) in the winter once per year, usually in Washington D.C., and then
again at the annual NAFSA conference as well as communicate via e-mail
throughout the year. Attendance at these meetings is required, in addition
to attending 3 Region V Team meetings (one in spring, one at the national
conference, and one at the regional conference). Also required is
attending the Region V conference held during each of the years of service
as well as contributing to each issue of our newsletter, the Lakeline,
published twice per year.
IT SIG Regional Liaison
Term: Three years
Appointment: By the Regional Chair
The IT-SIG Regional Liaison will 1) identify relevant computer topics and
coordinate the organization of computer-related sessions for the annual
regional conference, 2) identify individuals at the regional level who can
contribute to regional conference sessions and training efforts, 3)
arrange for the distribution of IT SIG and other computer-related
information and training materials at the regional conference, 4) serve as
a regional resource for those with questions about access to and/or use of
Inter-L and other electronic forums of interest to international
educators, 5) identify technical issues at the regional level to bring to
the attention of the national IT SIG Steering Committee, 6) advise the
Regional Team on technical issues related to conference planning and other
team efforts and initiatives, 7) assist with the creation of a regional
web site, in coordination with the regional team, 8) help the Region to
utilize available technology to a greater degree than at present. The IT
SIG Liaison should also identify potential members and encourage
membership in NAFSA.Requirements: The IT SIG Regional Liaison must be
available by e-mail, as it is via e-mail that communications will be
relayed to and from the IT SIG steering committee. This is a three-year
position. Prior service on a state Team may be helpful. Attending both the
annual regional conference and spring planning meeting, and contributing
to each newsletter are essential. NAFSA membership is required.
Regional Membership Coordinator
Term: Three years
Appointment: By the Regional Chair
The membership coordinator is responsible for overseeing membership
activities at annual regional conferences and during preparation for the
annual regional conference, which include:
a. Working with the regional newsletter editor to publicize special
membership offers.
b. Coordinating efforts with the Conference Chair and Local Arrangements
Chair to run a membership table which entails creating membership
information displays, staffing the table so that members are there to
brief prospective new members on membership benefits and to process
membership applications and returning them to the NAFSA Ventral Office,
and acting as a liaison between NAFSA Central and the new member should
confusion occur.
c. Working with the regional team and Conference Chair to identify
nonmembers to invite to the regional conference to encourage
member/nonmember networking. Following the conference, send letters to all
non-member conference participants with information on NAFSA and
membership.
The Membership Coordinator is responsible for coordinating
regional membership development activities initiated by the national
membership committee, regional chairs or membership chairs including
activities such as:
a. Coordinating regional efforts to recruit identified academic
institutions and individuals to become NAFSA members.
b. Coordinating regional (written or telephone) surveys to gather data on
potential traditional and nontraditional member organizations.
c. Writing newsletter articles on membership issues.
d. Identifying and coordinating regional attendance sister organization
conferences to establish inter-associational alliances and resource
networks and to increase awareness of the value of NAFSA as a source of
information.
e. Initiating other membership recruitment activities as seen valuable by
regional and sectional teams and special interest groups.
f. Identifying member activities and accomplishments of interest to region
association.
g. Promoting the value of new members to current NAFSA members in the
Region and soliciting current members' partnership in recruiting new
members.
Knowledge of the association and some experience in the field, public
relations experience, communication skills, and data base knowledge are
essential. Strong organizational abilities are important. NAFSA membership
is required.
Treasurer
Term: Three years
Appointment: By the Regional Chair
The treasurer is responsible for:
- Managing the assets of the Region and maintaining appropriate financial
records in accordance with the regional bylaws and national standing
rules.
- Ensuring that all accounts payable are closed in a timely manner after
approval of the Regional chair.
- Managing the Regionís financial reserves in such a way as to maximize
the interest generated.
- Ensuring that the income/expense ratio remains favorable. Otherwise,
notify the Regional Team so the appropriate measures can be taken to
ensure the regionís financial solvency.
- Preparing an annual budget and presenting it to the Regional Team for
approval
- Preparing quarterly and annual financial reports to the Regional Team
including a financial report of the regional conference.
- Submitting an annual financial report to NAFSA by July 1st, including a
financial report of the regional conference, in compliance with the
National office requirements.
- Ensuring that regional fundraising conforms to the NAFSA Guidelines for
Fundraising.
- Previous experience in managing sizable budgets is required. Attending
both the annual regional conference and spring planning meeting is
essential. NAFSA membership is required. The Treasurer should also
identify potential members and encourage membership in NAFSA.
